Requesting a Quotation
In order to produce an accurate quotation we need you to complete the following:1. Group Protection Quotation Request Form
This is needed to:
- Outline what benefits are required and
- To provide us with information required to produce an accurate rate based on details such as scheme history, claims history, overseas travel and long-term absentees as these details can considerably affect the rates.
Note: We have not branded this form so you can use it to pass on to other providers. This way you only have to complete one request ,then the quotes you receive back can be compared accurately.
2. Member data schedule in excel format which should include:
- Date of birth
- Gender
- Occupation
- Salary
- Marital status (if the benefit structure requires this)
These should be completed and sent to groupprotectionirl@aviva.com
Quotes are valid for 3 months from the date of issue.
Going on Cover / Requirement to set up scheme
To arrange cover, you should send a confirmation email to groupprotectionirl@aviva.com and cc your account manager advising that your clients have accepted the quote and wish to go on risk. If the application form has already been completed this should be attached.The details required to assume risk are:
- Name and reference number of the quote selected (Note : original quote is only valid for 3 months, if the quote is outside 3 months then the full details including the Group Protection Quotation Request Form will need to be provided)
- Confirmation that there has been no material change to the member details quoted. If there has been changes, updated member data will be required, which will include:
- Name
- Date of birth
- Gender
- Salary
- Occupation
- Marital status (if the benefit structure requires this)
- Category of benefit for each member
- Confirmation that all members are actively at work. If not, we require details of absent members – member name, nature of illness and date illness began. (This is included on Section 6 of the application form)
- If cover is being transferred from another provider, we will need confirmation of:
- Full claims history (If an Income Protection scheme is being set up, this will include current, pending and ceased IP claims)
- Adverse underwriting terms
- Copy of acceptance terms from previous insurer
We will then be in touch to confirm risk or to request any necessary information that we need to assume risk.

Renewing a scheme
The scheme renewal takes place every year to allow us produce new accounts to reflect changes in scheme membership and benefits at the anniversary date. We will also calculate an adjustment to reflect any changes which are made during the policy year in respect of leavers and joiners to make sure that we charge the correct premium for the amount and length of cover that we actually provided.Usually the renewal date selected by the employer is 12 months after the start date of the scheme but it is not a requirement to have it this way. For instance, we could go on risk for a scheme in August but have the renewal date as 1 January because the employer produces their financial reporting in a calendar year.
The renewal date is selected at new business stage so will be included on the application form.
Pre-renewal
Aviva issue a pre-renewal to the broker 6 weeks prior to the anniversary date. We request the following details:- Name
- Gender
- Date of Birth
- Salary
- Marital Status (if applicable)
- Category (if applicable)
- Date of joining service for new entrants only
- Premium Protection Cover and the cost of Life Cover benefits (if applicable), indicating which members are to be covered and for what level of cover required.
- Any other information relevant to this renewal
- Occupation is required at rate review date only
From time to time members may be left off the renewal data or not included at their first opportunity. These members are known as Late entrants. Late Entrants are not immediately entitled to free cover and must be notified to us as soon as these are identified. These members are not on cover straight away and may require underwriting. Such members should be highlighted on the renewal data so that we can confirm our requirements for putting these members on risk.
The pre-renewal pack will include the following:
- Underwriting member schedule (if applicable)
- Provisional invoice
Once completed, this should be returned to grouprenewals@aviva.com
Upon receipt of full and final renewal data, Aviva will issue the renewal acceptance terms and underwriting requirements to you.
The renewal schedule and account statement are then issued after the renewal acceptance terms.
Payment of the provisional premium is required within 50 days of the renewal date in order to continue cover.Note: We would recommend that the employer verifies the company employee records against the payroll to ensure all members are covered.

What is Early Intervention?
Long term absence often means significant cost for businesses, and our research has shown us that working or being actively at work is part of a successful recovery.Early Intervention is a range of supports and services that Aviva can provide to members following an illness or injury that prevents them from working. These services are most effective when utilised within the deferred period, the period of time someone must be absent from work before a claim can be made on an Income Protection Scheme. We aim to offer our services as early as 4 weeks into absence if appropriate. During this process we work with employers and their staff to get to grips with what’s wrong as soon as possible. We aim to create a tailor-made plan that best suits everyone’s needs to increase the chances of a successful recovery and return to work.
Our plans are designed to complement treatment being received from a GP or Consultant. By engaging with our services such as physiotherapy, psychology, ergonomic workstation reviews and dietetics, we can help reduce the time spent out of work due to illness or injury.
Once it’s the appropriate time to commence a return to work, we are also on hand to help ensure a smooth and safe return.

Top 4 Early Intervention Conditions
Ciara's story
Ciara is a 38 year old administrator with a history of low mood with sporadic absences. After recently separating from her partner Ciara went absent from work, and was provided Employee Assistance Programme details by HR and had begun to access counselling.During an Initial Needs Assessment, the Aviva Early Intervention case manager discussed with Ciara the history of her absences, symptoms and progress in counselling.
The case manager noted that given the nature of Ciara’s symptoms, that an alternate form of talking therapy such as Cognitive Behavioral Therapy (CBT) may be more appropriate than counselling and asked that Ciara discuss this with her GP. While Ciara’s GP agreed with the suggestion that CBT may be more appropriate, she was advised that the current waiting list was 3-6 months, and that she would otherwise have to self-fund her treatment which was difficult to do given her now reduced earnings.
Following this waiting list feedback from the GP, the case manager felt it would be appropriate to expedite treatment and referred Ciara for CBT with one of our treatment partners, and had her first session in 7 days.
Ciara’s change in treatment led to an improvement in symptoms, and with feedback from her treating therapist, it was agreed that she would be able to commence returning to work. While Ciara also wanted to return to the workplace, she was concerned about being able to handle the stress of her role immediately, while also needing to make new childcare arrangements given the recent separation. The case manager discussed these circumstances with Ciara’s line manager and HR, and it was agreed that a short term phased return to work plan would be developed which would account for temporary alternate duties and modified hours to suit everyone while Ciara continued with her recovery.
Given Ciara was able to access the appropriate treatment earlier than what she otherwise would have, she was able to commence a phased return to work within the deferred period. While her reduced hours extended beyond the deferred period for a short time, Aviva was able to pay a proportionate benefit in line with the agreed return to work plan to ensure Ciara continued to be financially supported rather than remaining off work.
